A family fills out a Google Form. Someone downloads it as an Excel file and copies it into another sheet. On the day of the meeting, that sheet is printed and attendance is marked with a pen.
The family pays by bank transfer and sends the receipt on WhatsApp. Someone looks at it on their phone, says “done”, and notes it in a notebook. They hand over a printed form, but nobody records which numbered form the family received or who handed it over.
The next day, nobody knows for sure how many forms were sold, which payments are verified, who attended, or who needs a call.
The real cost is that the school cannot answer basic questions about its own operation.
Families open it on their phones, enter their details in three steps, pay with Nequi, Daviplata or Bre-B, and upload a receipt photo — compressed in the browser, because schoolyard reception cannot handle 8 megabytes. If their area has no school bus route, the system prevents payment: nobody pays for a service they cannot use.
Pending and verified payments, and forms handed over, updating automatically every ten seconds. Staff view the receipt, verify with one click, and record which numbered form was handed over and by whom. That traceability did not exist anywhere before.
The school had a barcode scanner sitting in a drawer. We connected it: it reads the back of an ID card, extracts the document number and marks attendance. Green if the family is registered. If it does not recognize the ID, it learns it for next time.
Branded for the school and tailored to each family’s stage. The attendance confirmation button writes directly to the database, schedules the family, and shows it instantly on the dashboard.
The scanner sends all the barcode text — names, surnames and internal codes — and the system extracts the document number. A green card if the family is registered. Otherwise, a name search links that ID to the parent: the system learns.
